Who are we?
AppAgent is a strategic and creative mobile growth agency. From time to time, we also recruit people, mostly because having a team makes running an agency considerably easier.
This Recruitment Privacy Policy explains how we process personal data in connection with our recruitment activities, the purposes and legal bases of processing, how long we keep the data, and your rights. It applies when you visit our career site, apply for or are considered for a role with us, communicate with us about current or future opportunities, are referred to us, or provide a reference for a candidate.

What personal data do we process?
Identification and contact data
Such as name, e-mail address, telephone number, location and links to your professional profiles.
Application and professional data
Such as CV, cover letter, education, qualifications, employment history, skills, work samples, portfolio, professional profiles, availability and work authorisation status.
Recruitment process data
Such as application responses, salary expectations, availability, interview notes, assessments, test results, internal evaluations, reference information and other information created or provided during the recruitment process.
Communication data
Such as e-mails, messages and other communication with us, including interview recordings and transcripts.
Technical and usage data
Such as IP address, browser and device information, pages visited and interactions with our career site.
We obtain this information directly from you, from publicly available professional sources such as LinkedIn or company websites, from recruitment service providers, employees or other people who refer you, from the references you provide, and from information created during the recruitment process.
Unless we state otherwise, providing personal data is voluntary and is not a statutory requirement. However, certain information is necessary for us to assess your application or take steps at your request before entering into a contract. If you do not provide it, we may be unable to consider you for the relevant role.
Why do we process your data?
Managing the recruitment process
Purpose: To receive and review applications, communicate with candidates, conduct interviews and assessments, verify references and decide whether a candidate is suitable for a role.
Processed data: Identification and contact data; application and professional data; recruitment process data; communication data.
Legal basis: Steps taken at your request before entering into a contract; our legitimate interest in organising, documenting and carrying out an effective recruitment process.
Identifying and contacting potential candidates
Purpose: To search for and contact people whose professional profile may be relevant to our current or future vacancies.
Processed data: Identification and contact data; application and professional data; relevant publicly available information.
Legal basis: Our legitimate interest in identifying and contacting potentially suitable candidates.
Future opportunities
Purpose: To retain your profile and contact you about relevant vacancies that may arise later.
Processed data: Identification and contact data; application and professional data; recruitment process data.
Legal basis: Your consent.
Interview note-taking and recordings
Purpose: To take notes during interviews, including via an AI assistant, and to record an interview where relevant, so we can accurately capture and assess the conversation.
Processed data: Communication data, including notes, transcripts and audio where applicable.
Legal basis: Our legitimate interest in accurately capturing and assessing interviews.
Operation and security of the career site
Purpose: To operate, maintain and secure the career site and understand its use.
Processed data: Technical and usage data.
Legal basis: Our legitimate interest in securely operating the career site; your consent for non-essential analytics and marketing technologies.
Legal obligations and protection of our rights
Purpose: To comply with applicable law and establish, exercise or defend legal claims.
Processed data: All categories of personal data mentioned above, but only to the extent necessary for the relevant purpose.
Legal basis: Compliance with a legal obligation; our legitimate interest in maintaining appropriate records and protecting our rights and legal claims.

How long do we keep your data?
We keep your personal data only for as long as necessary for the recruitment purposes described in this policy and in accordance with applicable legal requirements. Where you agree that we may consider you for future opportunities, we keep the relevant data until you withdraw your consent or the data is no longer needed for that purpose. We may retain certain information for longer where required or permitted by law, including to comply with legal obligations or protect our rights during applicable limitation periods.
If you join AppAgent, relevant information from the recruitment process may become part of your personnel or contractor records and will then be processed for the purposes communicated to you in the applicable privacy information.
Who do we share your data with?
Where necessary for the purposes described in this policy, we may share personal data with:
authorised AppAgent team members involved in recruitment;
Teamtailor, which provides our career site and applicant tracking system;
providers of recruitment, IT, communication, interview and assessment services;
professional legal and other advisers; and
competent public authorities where required by law.
We always strive to process your personal data within the European Economic Area. However, Teamtailor and some of its subprocessors, as well as other providers supporting our recruitment process, may process or access personal data outside the EEA. Where personal data is transferred outside the EEA, we rely, as applicable, on an adequacy decision of the European Commission or appropriate safeguards such as the European Commission’s Standard Contractual Clauses. Information about the applicable safeguards is available from us on request.
What are your rights?
Under the GDPR, you have the following rights in relation to your personal data. To exercise any of these rights, please contact us at office@appagent.com. We will respond within one month. In complex cases, we may extend this period by up to two additional months and will inform you if this happens.
Access
You may ask us to confirm whether we process your personal data and to provide you with information about that processing and a copy of your personal data.
Rectification
You may ask us to correct inaccurate personal data or complete incomplete personal data.
Erasure
You may ask us to delete your personal data where the conditions under the GDPR are met, for example where the data is no longer needed or has been processed unlawfully.
Restriction of processing
You may ask us to restrict the processing of your personal data in certain cases, for example if you contest its accuracy or object to the processing.
Data portability
Where the processing is based on your consent or on a contract and is carried out by automated means, you may ask to receive your personal data in a structured, commonly used and machine-readable format.
Objection
You may object to processing based on our legitimate interests for reasons relating to your particular situation.
Withdrawal of consent
Where we process your personal data based on your consent, you may withdraw that consent at any time. This does not affect processing carried out before the withdrawal.
Complaint
